PetKlndr is software that pet businesses (trainers, groomers, walkers, sitters and others) use to run their business: clients, pets, packages, sessions and a client portal. This page explains what information PetKlndr keeps, why, and the choices you have. PetKlndr is operated by Safepaws LLC, Katy, Texas ("we", "us").
If you are a pet owner, the pet business you work with decides what is kept about you and your pet, and is your first contact for questions. PetKlndr stores that information for them and does not use it for anything else.
What we keep
- Business accounts: name, email, password (stored scrambled, never readable), and business details such as business name, phone, address and time zone.
- Client and pet records entered by the business, imported from a spreadsheet, or filled in by a client through a sign-up link: names, contact details, address, household contact, dogs' details, vaccine dates, photos, notes and training history.
- Sessions and packages: dates, times, addresses, status, notes and homework (for trainers).
- Client portal logins: the client's email address and when they last logged in.
- Google Calendar (only if a business connects it): PetKlndr adds the business's sessions to their calendar and reads the times of their other events so it can show when they are busy. It keeps an encrypted access key, not the business's Google password.
- Gmail (only if a business connects it): PetKlndr sends the emails the business sends to its own clients (reminders, invoices, proposals, report cards, follow-ups) from the business's Gmail address. PetKlndr can only send email: it cannot read, search, change or delete anything in the mailbox. It keeps an encrypted access key, not the business's Google password.
- iCloud Mail (only if a business connects it): the same as Gmail, sent through Apple's mail server with an app-specific password the business makes for PetKlndr. It is stored encrypted; PetKlndr never sees the business's Apple Account password and never reads their mail.
- Outlook / Microsoft 365 (only if a business connects it): PetKlndr adds the business's sessions to their Outlook calendar as events, reads the times of their other events so clients can only book when they are free, and sends the business's client emails from their Microsoft address. It cannot read their mail. It keeps an encrypted access key, not the business's Microsoft password.
- Calendly or Acuity Scheduling (only if a business connects it): bookings made on the business's Calendly or Acuity page (name, email, phone, time, place and answers to its questions) are sent to PetKlndr and added as sessions. PetKlndr keeps an encrypted access key, not the business's password, and removes its connection from that app when the business disconnects.
- Mailchimp (only if a business connects it): the business's clients' names, emails and phone numbers are added to the business's own Mailchimp audience, tagged with their status, so the business can send newsletters. New people are asked by Mailchimp to confirm unless the business says they already agreed. PetKlndr never removes or emails anyone through Mailchimp itself.
- Klaviyo (only if a business connects it): the business's clients' names, emails and phone numbers are added to a list in the business's own Klaviyo account, with their status (lead, active or past), so the business can send newsletters. Their email permission is only marked as subscribed when the business says they already agreed. PetKlndr keeps an encrypted access key and never removes or emails anyone through Klaviyo itself.
- Constant Contact (only if a business connects it): the business's clients' names, emails and phone numbers are added to a list in the business's own Constant Contact account, tagged with their status, so the business can send newsletters. A person's existing email permission is never changed (someone who unsubscribed stays unsubscribed). PetKlndr keeps an encrypted access key, not the business's password, and never removes or emails anyone through Constant Contact itself.
- Square customer list (only if a business imports it): names, emails, phone numbers, addresses and notes from the business's Square customers are copied into PetKlndr once, when the business taps Import.
- Calendar link (only if someone makes one): a private link that lets the person's own calendar app (Apple Calendar, Outlook and others) show their PetKlndr schedule: times, client and pet names, the service and the address, never private notes. Anyone with the link can see that schedule, so it can be replaced or turned off at any time in Settings, Connections.
- QuickBooks (only if a business connects it): PetKlndr sends the business's invoices and the client names and emails on them to the business's own QuickBooks company, and reads back whether they were paid. It keeps an encrypted access key, not the business's QuickBooks password.
- Xero (only if a business connects it): PetKlndr sends the business's invoices and the client names, emails, phone numbers and addresses on them to the business's own Xero organisation, asks Xero to email them, and reads back whether they were paid. It keeps an encrypted access key, not the business's Xero password.
- Webhooks (only if a business adds one): when something happens in their account (a new client, a session scheduled or finished, an invoice paid, a proposal accepted), PetKlndr sends the details of that record to the web address the business chose, such as their Zapier, Make or n8n account. The business decides where it goes and can pause or remove it at any time.
- AI helper (only when a business uses it): when someone at a business asks the AI helper to write session notes, the words they typed or said, the pet's name, breed and age, and that session's notes and last homework are sent to Anthropic (the maker of Claude) to write the text, which the business checks before saving. Anthropic doesn't use this data to train its models. A business can turn the AI helper off in Settings.
- “Try the demo” robot check: before a demo opens, Cloudflare Turnstile checks that the visitor is a person. Cloudflare sees the browser's technical details for that check; no account or email is involved.
- PetKlndr subscription: Stripe holds the business's card details; PetKlndr only keeps Stripe's customer and subscription reference, the plan status and the renewal date.
- Technical information needed to run the service securely, such as login cookies and basic server logs.
How it is used
- To let a business manage its clients, pets, packages and schedule.
- To let clients see their own pets, sessions, shared notes and package balance in the client portal, and ask for a session.
- To send login and account emails (for example a login link or password reset).
- To keep the service secure and working.
We do not sell personal information, and we do not use it for advertising.
Who can see it
- Each business's data is kept separate. A business only sees their own business's records.
- Inside a business, only the owner who signed up and the team members they invite can see its records, and a trainer the owner invites only sees the clients assigned to them. The owner can remove someone at any time.
- PetKlndr itself does not look at a business's clients, pets, notes, messages or payments. To run the service and handle billing, the only things we see day to day are each business's name, the owner's login email, when it signed up and simple counts (such as how many clients and sessions it has). We open a business's records only if the owner asks us for help with something specific, or if the law requires it.
- A client in the portal only sees their own information. Private notes stay private unless the business chooses to share a session's notes.
- Service providers that run PetKlndr for us: Supabase (database, logins and file storage), Netlify (website hosting), Resend (email), Stripe (PetKlndr subscription payments, and card payments when a business connects it), and, only when a business connects or uses them: Google (calendar, and maps when enabled), Intuit QuickBooks and Xero (invoices), Square (card payments), Twilio (text messages), and OpenStreetMap's address lookup and routing services (to place client addresses on the business's map and estimate drive times). They may only use the information to provide their service to us.
- We may share information if the law requires it.
Google user data
PetKlndr's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. Calendar information is used only to sync the business's sessions and show busy times. The Gmail permission is used only to send the business's own emails to its clients. Google data is never sold, never used for advertising, and never shared except as needed to provide these features. A business can disconnect Google Calendar or Gmail at any time in Settings, Connections, and can also remove access from their Google account.
Security
Information is sent over encrypted connections. Access is controlled so each business and each client only reaches their own data, and the Google access key is stored encrypted. No system is perfectly secure, but we work to protect your information.
How long it is kept
Records are kept while the business uses PetKlndr. Businesses can archive records and download a full export of their data at any time. When a business closes its account, their data is deleted, except where we must keep it for legal reasons.
Your choices
- Pet owners: ask the business you work with to see, correct or delete your information, or to turn off your portal access.
- Trainers: you can edit or export your data in the app, or contact us to close your account.
Children
PetKlndr is meant for adults. We do not knowingly collect information from children under 13.
Changes
If this policy changes, we will update this page and the date at the top.
